Comment* Freed Up Time for What Really Matters

Prisma Lappeenranta wanted to streamline how it processed and approved its marketing materials. Prisma implemented our service in the summer of 2022, making material approval immediately more efficient. Prisma also significantly reduced overlapping, wasted work and the number of errors. Email Overload Eats Away at Patience & Profitability

Many people can relate: your inbox keeps pinging all day long, and real work gets buried under a flood of emails. In spring 2022, Prisma Lappeenranta was facing the same challenge and decided to tackle it head-on.

The first focus area was the process of producing marketing materials, which suffered from inefficiency: work was often done twice. Until early 2022, all commenting of materials was done via emails sent between Prisma and its advertising agency, inflating the message volume per project to unacceptably high levels. Excessive communications cost Prisma employees’ valuable time and increased the agency bill. Mistakes also occurred from time to time.

Prisma Lappeenranta began looking for a service that would enable quick and easy commenting and approval of digital documents. While evaluating potential partners, the goal of the new approval process was to clarify the production workflow, minimise human errors, and save time.

At the time of writing, Prisma Lappeenranta has been using Comment* for about six months. Thanks to clear instructions implementation was effortless, and the intuitive interface made the software easy to learn. So far, Prisma staff haven’t even needed to contact support. The initial goals of simplifying commenting, reducing errors, and saving time have all been achieved.

Comment* users at Prisma Lappeenranta have praised it for its clarity and how easy it is to use: each team member has their own unique ID, and all materials requiring comments are sent directly to that user ID.

Using this new model, each team member only receives notifications for projects that actually require their input: no more endless “reply all” email chains.

The commenting software has made work easier and more efficient not only for Prisma employees, but also for its advertising agency. In the commenting view, all feedback is visible in one place, allowing the entire team to see everyone’s comments on the same page. This has significantly reduced unnecessary work. Likewise, an agency representative or producer can view all comments in a single view and make all necessary changes in one go.

Less Hassle, Fewer Errors

93% of all Comment* users report that the service has reduced the number of errors. At Prisma Lappeenranta, reduced email traffic has also led to a significant drop in mistakes.

A typical change request involves swapping the positions of products in an ad. In the old model, these requests were written out as text comments, increasing the chance of misunderstandings. Now, the same change can be made in Netcomment.net simply by clicking the spot where the product should be moved. Another common request, changing a price, can be done just as easily by clicking the existing price and typing the new one in a comment.

Thanks to these positive experiences, Prisma Lappeenranta plans to continue using the service in the future. Going forward, Prisma intends to make systematic use of the archiving feature so that campaign materials from previous years can be easily found and compared.

It also gathers all project information from different stages into one place, ensuring that all data is easily and reliably available for things such as reporting.
