Netcomment.net Freed Up Time for What Matters
Prisma Lappeenranta wanted to streamline the approval process for its marketing materials and implemented the Netcomment.net service in the summer of 2022. The adoption of Netcomment.net helped to make material approvals more efficient and significantly reduced overlapping work and the number of errors. Read more about the implementation below.
Email Overload Eats Away at Patience and Profitability
Many professionals can relate to the problem: your inbox keeps pinging all day long, and real work gets buried under a flood of emails. In spring 2022, Prisma Lappeenranta was facing the same challenge and decided to tackle it step by step.
The first focus area was the marketing material production process, which suffered from inefficiency and overlapping work. Until early 2022, materials were commented on via email between Prisma and its advertising agency partner, which had made the message volume per project unreasonably high. The excess communication cost both Prisma employees’ valuable time and increased the agency’s bill. Mistakes also occurred from time to time.
Prisma Lappeenranta began looking for a service that would enable quick and easy commenting and approval of digital documents. Netcomment.net was chosen as the partner, and the goal of the renewed process was to clarify the production workflow, minimize human errors, and save working time.
”It’s rare for materials to be finalized on the first round. Typically, there are 2–4 rounds of comments, and as many as 4–5 people may review a single piece. The time spent on commenting adds up to several days per year.”
-Antti Punkkinen, Store Director, Prisma Lappeenranta
Netcomment.net vs. Email Tennis: 6–0
At the time of writing, Prisma Lappeenranta has been using Netcomment.net for about six months. Thanks to clear instructions, implementation was effortless, and the intuitive interface was easy to learn. So far, Prisma staff haven’t even needed to contact Netcomment.net’s Finnish-language support. The initial goals—simplifying commenting, reducing errors, and saving time—have all been achieved.
Among Prisma Lappeenranta’s Kommentoi.com users, the service’s clarity and ease of use have received praise: each team member has their own personal account, and all materials requiring their comments are sent directly under that user ID.
With the new model, each team member now receives notifications only for the projects that actually require their review—no more endless “reply all” email chains.
”Netcomment.net is a very functional system. It beats email tennis six–nil.”
-Antti Punkkinen, Store Director, Prisma Lappeenranta
Netcomment.net has made work easier and more efficient not only for Prisma employees but also for their advertising agency partner—saving time for both sides. In the commenting view, all feedback is visible in one place, allowing the entire team to see everyone’s comments on the same page. This has significantly reduced overlapping work. Likewise, the agency representative or other material producer can view all comments in a single view and make all necessary changes in one go.
Less Hassle, Fewer Errors
93% of all Netcomment.net users report that the service has reduced the number of errors. At Prisma Lappeenranta, the calmer email traffic has also led to a significant drop in mistakes.
A typical change request at Prisma involves swapping the positions of products in an advertisement. In the old model, these requests were written out as text comments, increasing the chance of misunderstandings. Now, the same change can be made in Netcomment.net simply by clicking the spot where the product should be moved. Another common request—changing a price—can be done just as easily by clicking the visible price and typing the new one in a comment.
Thanks to these positive experiences, Prisma Lappeenranta plans to continue using the service in the future. Going forward, they also intend to make systematic use of Kommentoi.com’s archiving feature, so that, for example, holiday campaign materials from previous years can be easily found and compared.
”I recommend Netcomment.net to all companies where multiple people need to approve or influence the content of materials.”
– Antti Punkkinen, Store Director, Prisma Lappeenranta
